Bookkeeper, Middle School            

 

RESPONSIBLE TO:

Principal

 

JOB CLASSIFICATION:

Classified Position.  201 day Employee-At-Will

FLSA Status:  Non-Exempt

 

ESSENTIAL FUNCTIONS:

Manages, monitors and tracks day-to-day accounting and financial transactions, maintains and balances accounts by verifying, documenting, allocating and posting transactions.

 

 

QUALIFICATIONS:

 

 

Education:

  • High school diploma or GED - (Required).
  • Associate’s degree or equivalent college coursework applicable to the position - (Preferred).

 

Experience:

  • At least three years of experience in bookkeeping and financial processes - (Required)

           

MAJOR RESPONSIBILITIES:

  1. Demonstrates prompt and regular attendance.
  2. Maintains financial records in “review ready” status for management and auditors. Utilizes the school financial software to record all financial transactions.
  3. Collect and receipt funds from students, parents and teachers; process funds for deposit.
  4. Balance all revenue received, tally and enter cash receipts, prepare bank deposits and make timely deposits at the bank.
  5. Enter purchase orders and check requests with supporting documentation into the financial software.
  6. Maintains and audits all club accounts.
  7. Verify vendor invoices and resolve discrepancies prior to initiating payment.
  8. Process and posts procurement card purchases to the financial software; maintain records of receipts and invoices that support those purchases.
  9. Perform a daily review of the school’s checking account and monitor financial records on an ongoing basis.
  10. Assist the principal with annual budget management and tracking of spend of federal, local and instructional funds.
  11. Balance and maintain accurate ledgers; apprise administration of any budget discrepancies or issues.
  12. Prepare financial reports and routine statements as needed for principal and/or central office review.
  13. Track instructional allotments and budgeted staff compensation spend and fund allocations (general fund, title, grant funds, other)
  14. Perform other duties as assigned by the Principal.

Physical Demands:

Employee is regularly required to sit, talk or hear.  The employee will frequently repeat the same hand, arm or finger motion such as when typing. Specific vision abilities required for this job include close vision.        

 

Work Environment:

Working conditions are normal for an office environment.
